This Privacy Policy explains what information we collect through our websites (including articulateworks.com), our AI phone assistant ("Ira"), and the KnowMain™ Watchdog platform, how we use it, who processes it on our behalf, and your choices. We aim to collect only what we need and to be plain about where it goes.
1. Information we collect
Information you provide
Contact & inquiry forms — your name, email, phone number, company, and the message or project details you submit.
Calls and voicemails to Ira — when you call our line (615‑931‑5620), we collect your phone number and process the conversation to answer your questions, including a call summary and, where applicable, a voicemail recording and transcript.
Text messages (SMS) — if you opt in, the phone number you provide and the content of messages you exchange with us.
Marketing opt‑ins — your email and/or phone number and your consent, when you sign up for updates.
Information collected automatically
Standard technical data such as IP address, browser type, pages visited, and similar analytics/cookie data used to operate and secure the site.
Information from the KnowMain™ Watchdog platform (on‑site deployments)
Where a facility deploys KnowMain™ Watchdog on its site, the platform records safety‑compliance events for that facility. What it collects — and, just as importantly, what it does not keep:
Lockout/Tagout (LOTO) compliance records — asset/machine ID, kiosk ID, the verifying manager's ID and signature, timestamps, and a one‑way verification hash. These are the facility's own operational safety records.
Visual Identity Verification (VIV) — at lockout, the system captures a timestamped presence image so the on‑site manager can confirm the correct authorized technician is at the isolation point. The manager confirms by context (badge, presence) — not by facial recognition — and signs off. The raw image is then discarded and is never stored, on‑premise or in the cloud. No face is scanned, no facial‑geometry template is created, and no biometric identifier is generated or retained; only the one‑way verification hash and the manager's signature are recorded. Visual verification is consent‑gated.
Vision‑based safety monitoring (VisionGate™ / GeoSignal™) — on‑device analysis of a camera frame for safety conditions (for example, PPE or hazard zones). Each frame is analyzed in temporary memory and produces only a text/JSON result — never an image — after which the frame is purged. In mobile/geofenced use the camera stays dormant until the vehicle is inside a defined worksite. No video or image is stored, and only text‑based telemetry leaves the device.
No‑Harm Data Model. Across the Watchdog platform, visual frames are handled in ephemeral memory only: frame in → analysis runs → a compliance result (text/JSON) is written → the frame is permanently purged. What reaches any database is a compliance record, never an image. The system is built so there is no stored footage to breach, subpoena, or misuse.
2. How we use it
To respond to your inquiries, schedule consultations, and provide the services you request.
To operate the Ira phone assistant (answer calls, log messages, and notify us of inbound calls).
To send updates or marketing communications where you have consented (you can opt out at any time).
To maintain, secure, and improve our sites and services.
To comply with legal obligations.
3. Service providers & where your data is stored
We use trusted third‑party providers to run our services. Your information may be processed and stored on their infrastructure, subject to their security and privacy commitments:
Google LLC — Firebase / Cloud Firestore and Google Cloud: hosting and database storage for contact submissions, call/message records, and related data.
Google LLC — Workspace (Gmail, Google Sheets) and Gemini AI: email delivery, call/message logging, and AI processing that powers Ira and our knowledge features.
Twilio Inc.: telephone and SMS delivery for calls and text messages to and from our numbers.
These providers act as our processors and are not permitted to use your information for their own purposes. Data may be stored and processed in the United States.
SMS program disclosure. If you opt in to text messages, you agree to receive automated messages from Articulate Web Services d/b/a KnowMain™ Watchdog at the number you provide. Message frequency varies (approx. 4 msgs/month). Message and data rates may apply. Reply STOP to unsubscribe, HELP for help. Consent is not a condition of any purchase. Mobile opt‑in information and consent are never shared with third parties for their marketing.
4. Cookies & analytics
We use essential cookies to operate the site and may use analytics to understand usage. You can control cookies through your browser settings. We honor "decline non‑essential" choices where offered.
5. How we share information
We do not sell your personal information. We share it only: with the service providers listed above to operate our services; when required by law or to protect our rights; or with your consent. We do not share your mobile phone opt‑in data with third parties or affiliates for marketing.
6. Data retention
We keep information for as long as needed to provide our services, respond to you, meet legal or accounting requirements, and resolve disputes. Call and message records are retained for operational and compliance purposes and deleted when no longer needed. You may request deletion as described below.
KnowMain™ Watchdog images are never retained. Presence images used for VIV and frames used for safety monitoring are discarded immediately after on‑device processing; only the resulting one‑way hashes and text compliance records are kept. There is no image or video archive.
7. Security
We use reasonable administrative and technical safeguards, including access controls and security rules on our databases, to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data and address issues promptly.
8. Your choices & rights
Access / correction / deletion — you may request a copy of, correction to, or deletion of your personal information.
Marketing opt‑out — unsubscribe via any email, or reply STOP to text messages.
Depending on your state or country, you may have additional rights (e.g., under CCPA/CPRA). We honor applicable requests.
